Personal Assistant to the CEO

Key Responsibilities
- Plan and manage the CEO’s daily, weekly, and monthly schedule. Screen and manage emails, calls, and messages to serve as the main point of contact between the CEO and internal/external stakeholders.
- Focus on prioritizing matters that require the CEO’s immediate attention. Prepare and review business presentations, reports, and official correspondence accurately, and work closely in a fast-paced corporate environment.
- Build strong relationships with external stakeholders (clients and vendors) and assist in handling client interactions. Coordinate and document internal and external meetings, including follow-ups.
- Conduct in-depth research, prepare analyses, and provide recommendations to help the CEO in making well-informed decisions. Keep an eye on ongoing projects to ensure smooth and timely completion and delivery, and provide updates to the CEO.
- Keep the CEO’s workspace environment structured, organized, and optimized at all times. Ensure smooth department workflow by assisting the team with daily operations. Support company events, meetings, conferences, and other office-related activities.
- Organize travel arrangements, including visas, flights, accommodations, and transportation. Ensure smooth business trips by managing full travel logistics. All the travel records, documents, and filing systems should be properly maintained.
- Handle confidential and sensitive information with the highest level of professionalism. Build and maintain trust by protecting the company’s interests in all communications and documentation.
Requirements
- Bachelor’s degree in Business Administration, Management, with 3-5 years of working experience as a personal or executive assistant in professional environments.
- Ability to work in a high-pressure corporate environment, with multitasking, time management, and problem-solving skills.
- Excellent command of English, both written and verbal, and knowledge of Arabic is an added advantage.
- Knowledge of travel booking systems, visa processes, and corporate travel management.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), calendar management, and scheduling tools.
