Key Responsibilities

  • Provide a high level of operational and administrative support to the EMEA Operations leadership team, oversee and coordinate day-to-day operational activities to ensure efficiency and effectiveness.
  • Assist the operations manager in planning, scheduling, and executing tasks across various departments. Make sure the implementation of the operational plan, procedures, and service models meets the deadlines and quality standards.
  • Serves as a central point of contact between market-level operations leads, clients, vendors, and government entities. Manage approvals, follow-ups, smooth collaboration, and support ongoing communication with clients and management.
  • Also, give assistance in the planning of board meetings and internal events, as well as contributing to the preparation of data reports. Analyze operational workflows, identify inefficiencies or challenges, propose improvements, and implement solutions.
  • Contribute to pavilion readiness across all functions, including visitor services, facilities, security, and logistics. Ensure adherence to company policies, procedures, and UAE regulations.
  • Collaborate with protocol and event teams to support the development and execution of VIP visit protocols. Travel to different locations/sites as required to support operations and address site-specific needs.
  • Maintain accurate and up-to-date documentation and records of operational activities. Work closely with internal and external stakeholders to deliver strategic objectives and support key engagements.

Requirements

  • A bachelor’s degree in Operations Management, Business Administration, Events Management, or a relevant field is required.
  • The candidate should have at least 4-5 years of experience in administrative and coordination functions. UAE market experience is desirable.
  • A general knowledge of UAE business laws and documentation processes is important. The candidate should be positive and proactive with a friendly approach.
  • A candidate must have good communication skills in English – both written and verbal – and knowledge of Arabic.
  • Strong organizational and multitasking abilities to manage multiple projects simultaneously.
  • Proficiency in Microsoft Excel and PowerPoint skills, ability to spot issues quickly, and high accuracy in handling documents and reports.
