Key Responsibilities

  • As a Document Controller, you will manage project documents from start to finish, making sure every file is properly numbered, formatted, updated, and easy to find when needed.
  • You will distribute project documents to internal teams, contractors, consultants, and other stakeholders while keeping a clear record of every issuance. Confidential documents must also be handled carefully, with proper access control in place.
  • All project documentation should follow company procedures, ISO standards, and contractual requirements. This helps keep the project ready for audits, reviews, and compliance checks at any stage.
  • The Project Document Controller will coordinate closely with project teams to manage document submissions, reviews, approvals, and sign-offs from the right authorized personnel.
  • You will track document submissions, approvals, RFIs, and pending actions, then prepare regular status reports for management. A clean and structured document control system is key here.
  • The role also includes improving document control practices where needed, keeping technical records organized, and maintaining important logs such as RFI logs, NCRs, meeting minutes, shop drawings, and other project-related documents.
  • You will also support project closeout by ensuring timely document submission, managing handover records, archiving files correctly, and compiling final documentation such as as-built drawings and O&M manuals.

Requirements

  • Bachelor’s degree in Business Administration, Engineering, or a related field.
  • 3 to 5 years of proven experience as a Document Controller, preferably on large-scale construction, engineering, or infrastructure projects.
  • Strong attention to detail and the ability to manage high volumes of documentation without losing accuracy.
  • Good communication, analytical, and problem-solving skills, especially in a fast-moving project environment.
  • Proficiency in MS Office, RFIs, shop drawings, submittals, and document control procedures.
  • Excellent organizational, coordination, and time-management skills.
  • Experience with document management systems will be an added advantage.
